What you will do

About the role:

Are you a proactive, detail-oriented multitasker with a passion for organization and communication? Join our dynamic international team as a Team Assistant and play a pivotal role in keeping our day-to-day operations running smoothly. In this highly visible and varied position, you’ll be the organizational backbone of our department, working closely with colleagues from across the business and around the world. Whether you're coordinating high-level meetings, organizing events, supporting onboarding, or ensuring seamless travel arrangements, your contribution will be essential to the success of our team.


  • Independently execute and organize administrative and assistance tasks.

  • Communicate efficiently with international colleagues and external partners.

  • Support internal communications using Microsoft 365 tools.

  • Handle purchase orders (POs), invoice tracking, and payments via SAP / ARIBA.

  • Manage procurement of materials and services, including liaising with internal stakeholders and external vendors.

  • Prepare and manage meeting rooms.

  • Organize and coordinate onboarding activities for new employees.

  • Provide backup support for fellow team assistants and executive board assistants.

  • Manage calendars, plan overarching management meetings, and organize business travel.

  • Ensure accurate travel expense accounting.

  • Administer general office tasks, including inbox management and email prioritization.

  • Organize and supervise internal and external events.

  • Manage incoming and outgoing mail.


What you will need

  • Completed commercial training or comparable qualification.

  • Minimum of 3 years of experience in a similar assistant or office coordination role.

  • Comfortable working in cross-cultural, multinational teams.

  • Proficient in Microsoft Office 365 (Word, Excel, PowerPoint, Teams).

  • SAP knowledge is an advantage.

  • Strong communication and interpersonal skills.

  • Structured and reliable working style with a friendly, confident presence.

  • Hands-on mentality with a pragmatic, solution-oriented mindset.

  • Fluent in German and English, both written and spoken.

  • Exceptional organizational and coordination skills, even under pressure.

  • High level of integrity and discretion when handling sensitive information.

  • Openness to learning new tools and software, including effective use of AI (e.g., ChatGPT) to optimize daily tasks.
