Your Tasks

The Project Coordinator ensures the successful implementation of a new warehouse solution by managing requirements, facilitating communication, and aligning processes between tesa and the Logistics Service Provider (LSP). This role is responsible for documentation, stakeholder coordination, operational readiness, and ensuring all contractual, training, and performance aspects are aligned.

Requirements & Documentation

  • Conduct internal interviews to capture relevant requirements and document existing LSP interfaces.
  • Ensure customer requirements are clearly documented, cleaned up, and transparent.
  • Document all joint decisions (decision log) and open points (open point list).

Workshops & Process Alignment

  • Plan and prepare process workshops between LSP and tesa with relevant experts (inbound, outbound, storage, DG, customs, VAS, returns).
  • Complete workshops and document all agreed requirements.
  • Coordinate internal implications (process changes, optimizations) with relevant stakeholders.
  • Extract and analyze relevant data to support LSP decisions.

Communication & Governance

  • Gather and document all communication streams between tesa and LSP.
  • Define list of contacts and escalation matrix.
  • Establish operational communication methods across all relevant processes.
  • Align governance model with future warehouse manager.

Commercial & Performance Alignment

  • Align invoicing requirements.
  • Align reporting requirements.
  • Define and agree on SLAs and KPIs.
  • Define and align forecasting mechanisms.
  • Set up controlling processes.

Warehouse & Operational Readiness

  • List necessary actions for warehouse readiness and assign responsible stakeholders.
  • Ensure steps for warehouse readiness are transparent and assigned (e.g. packaging, customs, quality)
  • Ensure preparation and training of tesa internal organization for new processes.
  • Align shopfloor and admin training concept with LSP.
  • Align staff hiring milestones with LSP.

Go-live and ramp-up

  • Coordinate go-live and ramp-up activities on-site.
  • Make sure performance targets are reached along the ramp-up.
  • Hand over processes and operations to future warehouse manager.

Your Profile

  • Strong organizational and documentation skills
  • Ability to facilitate workshops and manage cross-functional stakeholders
  • Analytical mindset for data extraction and interpretation. Excellent communication and collaboration skills
  • Knowledge of warehouse processes and logistics (inbound, outbound, storage, DG, customs, VAS, returns)
  • Understanding of performance management (SLAs/KPIs), forecasting, and controlling processes
